At Labs, our aim is to make our members and their business more successful. As such, these rules are designed to ensure that each member and their guests receive fair use of the facilities along with the best possible experience.

  1. Fair use policy: Members are welcome to come and go as many times as required during the day, and as allowed by their membership type.

  2. Please do not reserve chairs, desks or tables by leaving coats or any other belongings unattended for more than 30 minutes. We have a range of storage lockers available should you wish to store items at Labs.

  3. Members and their guests are requested to adhere to a business dress code or smart casual.

  4. All guests must register at the Front Desk upon arrival and be with you at all times. Guests are to be with you for the purpose of a meeting and are not permitted to occupy an individual desk or table or remain at Labs if you are not present. Should you wish for a guest to be with you for an extended period of time, a Day Pass must be purchased.

  5. Unless using a meeting room, members are entitled to bring up to 2 guests into Labs at any one time. For any guests in addition to this, a guest pass must be purchased for each guest at the Front Desk.

  6. The Flexible Lounge Area is designed for meetings of up to 4 people. For meetings of more than 4 people, a meeting room must be booked.

  7. When making or receiving phone calls, use of the dedicated mobile phone booths should be made where possible.

  8. Occupancy of Labs is likely to fluctuate from time to time. At peak times, seating areas should be shared where possible.

  9. Any breach of Labs Rules or Terms & Conditions may prevent future access and use of Labs.

  10. These rules are to be read in conjunction with our Terms & Conditions. Labs reserves the right to amend these rules at any time.

Terms of Use:

  1. Members agree to be bound by Labs Terms & Conditions.

  2. Members must ensure that their guests also adhere to Labs Terms & Conditions and each member is responsible for the actions of any guest brought in to Labs.

  3. Members must pay their membership fees and any additional charges, fees or costs as they fall due or access to Labs may be prevented and their membership suspended.

  4. Membership fees and any other fees are payable in advance and may be subject to change. All fees are quoted exclusive of VAT which will be levied at the appropriate rate.

  5. Membership of Labs is a monthly membership, and membership fees must be paid monthly in advance, unless otherwise agreed. Membership cards will not be issued, and access may be prevented until membership fees are received in full. In circumstances where members are allowed access prior to the membership fees being received in full, these fees shall nevertheless remain due.

  6. Your membership will renew automatically at the end of each period and will continue until such time as it is either cancelled by Labs or by the member by giving no less than one month’s notice and failure to do so will incur the membership fee for the following period.

  7. Should a member give notice to cancel their membership, no refund, either in whole or part will be made.

  8. Labs requires the contact information of all its members and visitors. Members acknowledge that they will be auto- subscribed to Labs database list using the contact information provided and that they must receive members’ emails as part of their obligations.

  9. Members agree and acknowledge that any notices sent to them by Labs are deemed to be properly relayed and/or served upon them through the members’ contact information provided on their Membership form. Such notices shall include, but are not limited to, announcements, event alerts, billing invoices, change in Terms & Conditions, warnings, notices of default, notices in which member is put on notice regarding delinquency of membership and service fees or any notice informing the member about the termination of the agreement and in which the member is required to vacate Labs. Unsubscribing or opting out from Labs mailing list will be construed as a violation of Terms & Conditions and the member shall in no way hold Labs responsible or liable for not receiving important notices of any kind from Labs.

  10. Labs will not release any members’ personal information to third parties unless we are required to do so by law.

  11. Labs operates CCTV cameras for the security of its members and all those who use Labs. Members agree that all activities may be monitored, and any illegal act recorded may be passed to the police or relevant authorities.

  12. Members must not use Labs for more days than allowed by their membership type. In such cases, additional Day memberships must be purchased, or the membership type upgraded. Failure to do so may result in access to Labs being prevented.

  13. Members and their guests must not bring in to Labs or consume any food, drink or other catering purchased externally [only applicable to sites with cafeteria/restaurant].

  14. Members are required to report lost or stolen membership cards immediately and a replacement card will be issued subject to an administration fee of £20.00

  15. Membership is strictly non-transferable, assignable or to be used by any other person. Photo identification may also be required for security purposes.

  16. Labs reserves the right to refuse entry to any member who fails to produce their membership card or who does not pay the administration fee above.

  17. All invoices, costs or charges incurred whilst using Lab are to be paid in full before leaving the premises unless a monthly invoicing agreement or other form of credit account has been previously agreed. Where such an arrangement is agreed, members must register and pay using GoCardless unless agreed otherwise. Any queries regarding additional bills, costs or charges are to be made before the member leaves the premises.

  18. All invoices must be paid within 3 days. Where a debt remains outstanding after a total of 28 days, this will incur a late payment fee of £200. Act and access to Labs may be prevented until all debts are paid in full. Any debt recover and/or legal costs incurred by Labs in recovering any debts will be added to the balance owed by the member for which the member will be liable in full.

  19. Labs reserves the right to exclude any member or guest and ask them to leave at our sole discretion and without explanation, with no entitlement to the refund of any fees previously paid.

  20. Labs aims to provide a high level of service to its members and their guests but accepts no liability for any temporary or permanent breakdown in the ability to provide this service.

  21. Any additional services which are offered are done so, subject to availability.

  22. Wireless internet connection is provided for the benefit of members and their guests and should be used in accordance with all United Kingdom laws, statutes and regulations. Use of the internet connection must not therefore violate any law, be defamatory, offensive, abusive, indecent, obscene, be harmful in anyway, promote or encourage any unacceptable or illegal behaviour, have any fraudulent purpose or effect, result in any misrepresentation, or damage the integrity, reputation, brand or name of Labs in any way. Any passwords required for the use of the internet connection must not be divulged to any other party.

  23. Members and their guest must not remove or damage any property, fixtures or fittings belonging to Labs or any property belonging to any other member, user or their guest. Labs reserves the right to claim costs and damages in full from the member for any such removal or damage incurred.

  24. Smoking is strictly prohibited. Any member or their guest found to be under the influence of drugs or intoxicated will be asked to leave the premises and their memberships will be cancelled and no refund given.

  25. Opening and closing hours: Labs business hours are Monday to Friday from 8:30 to 6pm. Labs is closed on public holidays. These days and times can be extended for private hire with prior arrangement.

  26. To the maximum extent permitted by applicable law, Labs may end this Agreement and a Member’s membership immediately by giving the member notice and without need to follow any additional procedure if (i) the Member becomes insolvent, bankrupt, goes into liquidation or becomes unable to pay its debts as they fall due, or (ii) the Member is in breach of one of its obligations which cannot be put right.

  27. Should Labs not be able to provide the services at any given location, Labs will use its best endeavours to provide the services at an alternative location and transfer the membership to such location. Should Labs not be able to find such a suitable location, the member agrees that Labs will not be held liable for any loss, expense or damages nor liable for any refund in whole or part.

  28. Members and their guests must not make any direct or indirect approach to any of our staff for the purposes of recruitment or employment. Any such approach will be a breach of these terms and conditions and may lead to the cancellation of a membership with no refund in whole or part.

  29. Labs, its representatives, sub- contractors or suppliers accept no liability for death or personal injury caused to a member, user or their guest.

  30. Labs, its representatives, sub- contractors or suppliers shall not be liable for any damage, loss, or theft of any member or their guests’ personal belongings whilst on the premises.

  31. Labs shall not be liable to any member or their guest for any direct or indirect loss suffered when using Labs and its facilities, including, for example, but not limited to any loss of profits, loss of revenue, loss of reputation, loss of business, loss of opportunity, loss of contract, loss of goodwill, loss or corruption of data or information, consequential or economic loss or damages of any kind.

  32. Should Labs be found liable for any negligence in contract, tort, breach of statutory duty, liability shall be limited to an amount equal to the annual membership fees paid by the member or user in any membership year, prior to any liability arising.

  33. Members must not carry on a business that competes with Labs business of providing a business members club, lounge, meeting space or any of its ancillary services.

  34. Members may only carry on that business in its name or some other name that Labs previously agrees.

  35. Our fees and charges may be subject to change without prior notice.

  36. In the event of any dispute arising to the meaning or interpretation of these rules or terms and conditions, the decision of Labs Management will be final. These rules and terms of use shall be governed by English law.

  37. Members accept full responsibility for any loss of personal information when sending printing requests to a member of Labs team or to our [email protected], instead of through the secure Ezeep portal.

  38. Labs holds data in accordance with the General Data Protection Regulation and the Data Protection Act. Labs will deal with all the information it holds in line with its Privacy Policy.

  39. Labs is the trading name of Labs Worldwide Limited & Labs Camden LImited.

  40. Labs reserves the right to amend its Privacy Policy and Terms & Conditions at any time.

Meeting Rooms - T’s & C’s

Lab’s meeting rooms are available for hire by commercial organisations. There are conditions of use which these Standard Terms and Conditions set out. All bookings made by persons in respect of rooms at Labs are accepted by the following Terms and Conditions, which shall form the contract between Labs and the Hirer. Definitions

  1. In these terms and conditions: i) "FOH" means Front of House ii) "Room" refers to one of the Meeting Rooms available to be booked through the online booking system. iii) "Management" means the Management Team of Labs iv) "Hirer" means any person, persons or representative of the organisation named in a room booking invoiced by Labs Use of Rooms
  2. Use of the Room is by permission of Labs Management who reserve the right to refuse any booking or admission at their discretion
  3. Cards are to be collected in advance of room hire from the respective site’s reception and returned by the Hirer after the meeting to the FOH team. Please note the FOH team operates between 8:30 am and 6pm Monday to Friday. Cancellation by Labs
  4. Labs reserves the right to cancel the booking forthwith and without any liability on its part in the event of the Hirer failing to perform any of the obligations contained within these terms and conditions
  5. If for any reason beyond its control including, but not limited to strike, labour dispute, accident, act of war, act of God, fire, flood or other emergency condition, Labs is unable to perform its obligations in connection with any booking, such non- performance is excused and Labs may terminate this contract without further liability of any nature, upon reimbursement of any sums paid by the Hirer. In no event, shall the Labs be liable for consequential damages of any nature for any reason whatsoever. Cancellation by the Hirer
  6. The Hirer may cancel a Room hire booking by giving notice using the Labs app, the web app (name_of_the_site.spaces.nexudus.com) or by calling the FOH. In the event that the Hirer cancels a Room hire booking, Labs reserves the right to impose cancellation charges as follows: i) 2 days or more prior to the commencement of the meeting, no charges will be made. ii) A 100% cancellation fee will be charged if less than 2 days' notice is given for the cancellation of a meeting.
  7. The Hirer is in breach of this contract if: i) He fails to pay to Labs any sum of money payable to Labs on the due date ii) Room usage by the Hirer other than in accordance with the specified terms of this contract Catering
  8. Labs permits the Hirer to order catering products at the time of the booking i) Any catering products must be ordered 48 hours prior to the commencement of the booking ii) The Hirer pays for these products at the time of the booking request iii) The Hirer leaves the room tidy and puts all rubbish in the bin(s) provided iiii) For increases in food order quantities, these can be made up to 48 working hours prior to the booking date based on supplier availability.   9. The hire charges quoted relate to the times of the hire duration declared at the time of booking. Room usage which continues beyond these times will incur additional hire charges. Other Points
  10. Labs operates a no-smoking policy throughout its property.
  11. Permission is required for all photographs, filming and video-recording within the Labs Premises.
  12. The Hirer shall not sub-let the hired rooms
  13. An additional discretionary fee of £50 will be charged to the hirer if the room is not left in the same state as at the commencement of the hire period or is deemed, by Labs management team, to be in an unfit state for the next booking
  14. Bookings are not confirmed until full payment is made (in the case of non-members). Damage to Labs property and items not permitted in Rooms
  15. The Hirer shall take all reasonable precautions to ensure that no damage occurs to the property of Labs or its employees. Furniture and equipment provided should be used only for the purpose for which it was designed. In the event of any damage occurring, Labs reserves the right to render the Hirer liable for the replacement or repair of any or all property damaged.
  16. The Hirer shall ensure that nothing is fixed to the floors, walls, ceilings or any other interior or exterior of the buildings by means of nails, screws, drawing pins, blue tack, glue or any other means unless agreed in writing with the Management team prior to the hire period. Equipment
  17. Labs accepts no responsibility for any hired equipment or meeting room equipment provided by, for, or on behalf of the Hirer, left unattended prior to, during, or after the function
  18. Equipment hired from Labs i) Must be collected from the reception of the building prior to the meeting ii) Must be returned to the reception directly after use iii) Any faults must be reported before leaving Labs premises iv) The Hirer will be responsible if equipment is not returned and penalty charges will be incurred
  19. Labs cannot accept responsibility for any items lost or mislaid on the premises
  20. All items stored are at the Hirer's risk
  21. Any items not collected within 24 hours of the end of the meeting will be disposed of unless prior arrangements have been made. Items stored outside these times may incur additional charges Insurance of property of Hirer and Hirers guests
  22. The Hirer acknowledges that any such objects, equipment, furniture, stock, or other property of any sort will remain under the control and care of the Hirer and/ or guests and the Hirer is responsible for insuring such property and accordingly Labs excludes liability for losses. Conduct
  23. The Hirer shall ensure that the event for which the Room is used is conducted in an orderly fashion without causing a nuisance. Right to Exclude or Eject Persons
  24. Labs reserves the right, as it considers reasonable, to exclude or eject, any persons from the Room or the premises of Labs whom it shall consider objectionable (including any engaged by the Hirer) and the Hirer will be liable for any liability arising thereby save where the Hirer establishes negligence or bad faith by Labs.   25. The details of the Hirer or, where different, the Client will be held by Labs on its computer database for use by its accounts department for maintaining proper records. It will not be passed onto any third parties. Invoicing
  26. Payment to Labs for meeting room hire and catering orders must be made: For members: meeting room charges will be added to the monthly invoice. For non-members: by credit card at the time of the booking request which is when the invoice is issued. Any unpaid booking request will be cancelled within 15 min of the request.
